How we collect, use, and protect your information
CoachOS is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights as a user. We operate in accordance with the General Data Protection Regulation (GDPR).
CoachOS is a software platform built for independent life coaches. Our registered contact is hello@thecoachos.co. When we say "we", "us", or "CoachOS", we mean the platform and its operators.
When you sign up, we collect your name, email address, and password (stored as a secure hash). We never store your password in plain text.
As a coach using CoachOS, you may enter data about your clients including their names, contact details, session notes, homework, and payment information. You are the data controller for this information, we process it only on your behalf.
We collect anonymised data about how the platform is used, pages visited, features used, and session duration. This helps us improve the product. We do not sell this data.
Payments are processed through Stripe. We do not store your full card details. Stripe's privacy policy applies to payment data: stripe.com/privacy.
We do not sell your data to third parties. We do not use your data for advertising.

Your data is stored on servers within the European Union via Supabase (hosted on AWS EU regions). We use industry-standard encryption in transit (TLS 1.3) and at rest (AES-256). Access to production data is strictly limited and logged.
If you are a coach, the personal data you enter about your clients (names, contact details, session notes) makes you the data controller for that data under GDPR. You are responsible for having a lawful basis to process that data, informing your clients, and honouring their rights. CoachOS acts as a data processor on your behalf.

Each has their own privacy policy. We only share data with them to the extent necessary to provide the service.
We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes.
We may update this policy from time to time. We will notify you of significant changes by email. Continued use of CoachOS after changes constitutes acceptance of the updated policy.
